Terms of Use
Oct27pm HOA uses OurCommunitySite to run this website. This terms of use applies to every community site on OurCommunitySite.
Version 1.0 · Last updated October 1, 2026
Your community association (the “Association”) uses OurCommunitySite, a service provided by Imaj Associates, LLC (“OurCommunitySite,” “we,” “us”), to run its community website. These terms apply whenever you use your community’s site. By setting your password and checking the box, you agree to them.
1. Who does what
Your Association runs your community’s site. It decides who is invited, what is posted, which features are turned on, and what information it keeps about residents and properties. Questions about your community, such as rules, documents, dues, violations, meetings, elections, or your records, go to your Association’s board or manager.
We provide and maintain the technology the site runs on, and we handle your information on the Association’s behalf.
2. Your account
- You must be at least 18 years old to have an account.
- Accounts are by invitation from your Association. Your account is for you alone. Don’t share your password or let anyone else use your login. Each adult in a household can have their own account.
- Keep your contact information up to date in your profile.
- If you are a board member or site administrator, you will need to set up two-factor authentication.
- Tell your Association, or us at [support email], if you think someone has used your account without permission.
3. Your information and who can see it
What is collected. Your name, email address, and property address, and anything else you or the Association add, such as a phone number or move-in date, plus anything you submit through the site.
Who can see it. Your Association’s board and site administrators can see your resident record. Other residents cannot see it, except for what you choose to show in the resident directory.
The directory is your choice. If your community’s site has a resident directory, you decide whether you appear in it and which details are shown. Turning on a detail, such as your email address or phone number, means you agree to share it with the other residents of your community who can see the directory. You can change these settings at any time in your profile.
What we don’t do. We don’t sell your information, use it for advertising, or send you marketing. Our Privacy Policy [link] explains in more detail how we handle information.
4. Email from your Association
Your Association may send you messages through the site, such as announcements, reminders, and emergency notices. Those messages come from your Association, not from us.
Agreeing to these terms is not consent to receive official notices by email. Florida law allows an association to send certain official notices, such as meeting notices, by email only to owners who have separately agreed in writing. If your Association wants to send you official notices by email, it will ask for that consent separately. Until you give it, your Association will continue to deliver official notices by mail or another method the law allows.
5. Community Rules Q&A
If your community uses Community Rules Q&A, you can ask questions about your community’s governing documents and get an answer that quotes the passages it came from.
- Answers are written by an artificial-intelligence model and can be wrong or incomplete. Check the quoted passage, and ask your board when it matters.
- Answers are not legal advice and are not an official decision or interpretation by your Association. If an answer and the documents disagree, the documents control.
- Your question is sent to our AI provider to produce the answer. The provider is not allowed to use it to train its models, and we don’t keep a record of your questions. Don’t include personal or sensitive information, such as account numbers or medical details, in a question.
- There may be a daily limit on the number of questions.
6. Violations
If your Association uses the site to track rule violations, you can see the violations recorded for your property, their status and history, and notices sent to you. These records belong to the Association, which decides how its rules are enforced. Questions or disagreements about a violation, fine, or hearing go to your Association.
7. What you post
Some community sites let you submit updates, photos, or other content. You keep ownership of what you post. You give your Association, and us on its behalf, permission to host and display it on your community’s site and to keep it as the Association’s records require. Your Association may review, edit, decline, or remove submissions.
8. Be a good neighbor online
Don’t use the site to:
- harass, threaten, or discriminate against anyone, or post anything defamatory or unlawful;
- post someone else’s personal information, such as their phone number, email address, or financial details, without their permission;
- post content you don’t have the right to share;
- pretend to be someone else or submit information you know is false;
- try to get into accounts, pages, or information you haven’t been given access to, or interfere with how the site works.
Your Association may remove content or suspend your account if you break these rules. We may do the same if the site or other people are at risk.
9. When your account ends
Your Association controls the accounts on its site and may deactivate yours, for example when you sell or move out. If you want your account closed, ask your Association. Some information about you may be kept after your account is closed, because associations must keep certain official records for periods set by law.
10. The fine print
- The site is provided “as is.” We work to keep it secure and available, but we can’t promise it will always be available or error-free.
- To the extent the law allows, we are not liable for indirect or consequential damages arising from your use of the site, and our total liability to you is limited to $100. Nothing in these terms limits liability that the law does not allow to be limited.
- We may update these terms. If we make an important change, we will ask you to review and accept the new version the next time you sign in.
- These terms are governed by Florida law.
- Questions about these terms or how the site works: [support email]. Questions about your community: your Association.
